The Events & Communication Manager works under the general guidance and supervision of the General Manager and within the guidelines of Constance Hotels & Resorts. He oversees and directs all aspects of the events & communication function. The Events & Communication Manager plans, produces and oversees execution of marketing and communications plan activities including media, promotions, and website and collateral materials. He develops materials to deliver the organization's messages to the public and the media. He oversees and assists with organisation and coordination of conferences, meetings, seminars and other events.
DUTIES AND RESPONSIBILITIES:
Responsible for the production of events organised by Constance Belle Mare Plage, from conception through to completion, and communications related to Golf and Gastronomy.
· Provide support and assistance in planning, developing, producing, and delivering marketing and communications materials.
· Manage development, production, and distribution of promotional and collateral materials.
· Develop and oversee the communications calendar to ensure timely execution of the program.
· Use contact management system and other social media to create and send emails, newsletters.
· Participate in budget development and support budget management.
· Use independent judgment to execute marketing and communications plan.
· Prepare written materials including some marketing copy, business communications, reports, and

· Be responsible for ensuring accuracy in information and proofreading.
· Analyze marketing and communications programs and make recommendations to adjust strategy and tactics to increase effectiveness.
Support Constance Hotels & Resorts brand image with effective communication and event in line with the brand’s DNA.
Organise next editions of the Constance Belle Mare Plage events namely FCBL, Women’s Golf Day, Constance Golf show and MCB TC, and any other new events that could be created.
Set the events calendar.
Find participants for each event, in coordination with Constance sommellerie, CBMP Golf and any other co-organizing party.
Organise the media attendance and programme (in coordination with CHML Comm and Press offices who would have selected the media and plan their stay).
Centralise the events sponsors and make sure their requirements are satisfied, with the participation of other departments (F&B, Golf, CHML Comm who will each prepare and modify event contracts as requested, based on given template.
Prepare and follow budgets for each event project. Keep track of event finances including invoicing, and reporting.
Plan, manage and monitor all participants’ logistics, with the help of all departments concerned (Sommellerie, Comm CHML, Golf).
Run the event, host the participants and guarantee the event goes according to plan.
Coordinate and validate all communication tools related to the event, being banners, press book, invitation cards, pictures, table plans and sequence of official events.
Propose new ideas to improve the event planning and implementation process.
Follow-up regarding all information about the event needed by journalists following an event (expected coverage will be followed by CHML Comm and shared once received).
Key contact for ETD for all info coming from CBMP (all media, including SM). Work closely with golf teams to gather information and pictures that will be used by ETD for their marketing activities.
Key contact for European Tour and European Tour Productions for MCB TC.
Key contact for MCB regarding the MCB TC.
Create, update and maintain Golf courses signage and billboards.
Responsible for the E-Reputation of Links and Legend Golf courses (TripAdvisor monitoring).
Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
Coordinate on-site arrangements for all meetings and events: Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, ensure appropriate décor.
Serve as liaison with vendors on event-related matters.
Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
Assist with preparing budgets and provide periodic progress reports to Executive Director for each event project.
Keep track of event finances including check requests, invoicing, and reporting.
Close out all events as required.
Propose new ideas to improve the event planning and implementation process.
Work closely with Constance Sommellerie to promote and communicate externally the wine dinners, wine tastings and wine trips (gather information and pictures, and share it with Blast, Comm, HR and EB for relay).
Assist the Gastro / Wine journalists and participants during their stay.
Hosting of related journalists and participants during their stay.
Responsible for the E-Reputation of the Blue Penny Cellar (TripAdvisor monitoring).
Work with hotel General Manager and HODs to create new events in line with the brand personality and in line with the hotel clientele.
Work on the event positioning and concept.
Target and confirm partners supporting the event, thus optimizing costs of events.
CHML communication will support by creating key visuals, press kits and give away for each event. CHML comm will also source media for each event, secure the coverage; organize the journalist dates and trips before handling the file to EM. Plan regular meetings with Group Communication Manager, CHML Sommellerie, CBMP Golf teams and GM CBMP.
Education - Bachelor’s Degree preferred. Desired course of study: marketing, communications, event planning, or equivalent experience.
Minimum 2 years’ experience in a similar position in a Luxury Resort.
Ability to use contact management system and other social media to create and send emails, newsletters, etc.
Computer proficiency: word-processing, spreadsheet, PowerPoint, and data base management.
Excellent organizational and office skills.
